Administrative Clerk – Accounts Payable/Receipt Processing, Administration

(Grade EF)

Basic Function: Performs a variety of financial and administrative tasks, projects and related tasks.

Distinguishing Features of the Class:

This classification is responsible for technical and clerical work. The work requires the application of business software and organizational/financial methods, requiring the exercise of judgment in the application of prescribed procedures and methods. Work is done under general supervision of the Chief Fiscal Officer (CFO).

Characteristic Duties and Responsibilities:

Maintains files within the accounting and networked computer system by adding, deleting, storing and enhancing data files and workflows.

Works with the Graphics Specialist in the development and implementation of in-house forms, filing and operations of computers and printing equipment

Inputs data for processing of purchase orders following library chart of accounts

Processes invoices for payment; establishes schedule for issuing checks

Keeps/maintains accurate, detailed files and records for business office

Investigates and reconciles billing issues and resolves problems with vendors; keeps CFO informed on progress

Processes and scans receipts, purchase orders, vouchers and checks for electronic document management system

Compiles reports and documents as required by CFO

Types correspondence, reports, memoranda, etc., using electronic typewriter or PC

Collects, counts, balances, and prepares fine, copier and other revenues for deposit

Files accounting documents and records regularly; assists CFO with records organization/retention

May serve as receptionist/switchboard operator for administrative office

Knowledge, Skills and Abilities:

Good knowledge of business software, office terminology, procedures and equipment; knowledge of business arithmetic and English; knowledge of bookkeeping and general accounting practices; ability to maintain complex clerical records and prepare reports from such records; ability to understand and carry out complex oral and written directions; clerical aptitude; tact and courtesy; ability to make moderate decisions in accordance with regulations and established policies and procedures; proficiency with 10 key adding machine, word processing and spreadsheet software; ability to work in a team environment; accuracy, integrity, and good judgment.

Education, Training and Experience:

Requires an Associate's Degree in business administration or related area or equivalent experience at least two (2) years of experience in clerical work including clerical-accounting duties and familiarity in using PC’s, accounting practices, data entry or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities

SUPERVISOR: Chief Fiscal Officer

OTHER Full-time position, 38 hours/week. Excellent Benefits. Primary schedule will be daytime hours Monday through Friday but schedule may include evening and weekend hours. Duties include accounts payable, accounts receivable, processing invoices, account coding, researching payables, dealing with vendors, filing utilizing digital imaging system. Associates Degree in accounting preferred with two (2) plus years accounting experience. Must have excellent interpersonal, communication, and organizational skills. Excellent computer skills required including Word and Excel. $13.082 - $16.379 per hour; Selected applicants will be asked to test after February 12, 2018.
